Working hours

You set working hours and time off per person, in the menu item named after your team (e.g. Barber). Holidays for the whole business are in the Settings.

How to set a person's working hours

Web admin and app
  1. In the menu, open the item named after your team (e.g. Barber).
  2. Tap Edit (pencil icon) next to the person.
  3. Under Working hours (multiple blocks per day = breaks), add a block per weekday with Time and set the start and end.
  4. Remove a block with the cross next to it. Days without a block are closed.
  5. Tap Save.

Only times inside these blocks can be booked online. Existing appointments stay as they are. Staff with the Team role can only change their own working hours and time off, if their user is linked to their person. In the iOS app, add a block with Time range. In the Android app, switch the day on with the toggle and add a second block with + Second window. In both apps you can create at most two blocks per day.

How to add a break

Web admin and app
  1. Open the person with Edit.
  2. Create two blocks for the day, for example 09:00–12:00 and 13:00–18:00.
  3. Tap Save. The gap in between cannot be booked.

Warning: if a person has more than two time blocks on one day, edit their working hours only in the web admin, not in the Android app. The Android app shows only the first two blocks per day, and the others are lost when you save.

How to copy hours to other days

Web admin only
  1. Set up one day completely.
  2. Tap the copy icon for that day (Copy hours to other days).
  3. Tap Mon–Fri, Mon–Sat or All, or pick single days and tap Apply.
  4. Tap Save.

The previous hours of the target days are replaced.

How to add holidays or time off

Web admin and app
  1. Open the person with Edit.
  2. Under Holidays / time off (saved immediately), choose the first and the last day.
  3. Enter a Reason (optional) if you like and tap Add.
  4. Remove an entry with the trash icon in its row.

Time off is saved immediately, without Save. In the web admin it covers whole days; in the app you can also pick times of day. During this time the person cannot be booked online, and the calendar shows the time hatched. Appointments already booked stay in place; cancel them yourself if needed. In the iOS app, add time off with Add time off, in the Android app with Add absence.

How to add business holidays

Web admin and appAdmins only
  1. Open Settings → Booking rules → Business holidays.
  2. Choose From (first closed day) and To (last closed day).
  3. If you like, enter an Internal note (optional) and a Message for customers (shown on the booking page during the holidays).
  4. Decide whether to Notify followers in the app and Email affected customers. The number in brackets shows how many people are affected.
  5. Tap Add business holidays. The holidays are saved immediately.

During the holidays no appointments can be booked online. Existing appointments in the period are not cancelled automatically; reschedule or cancel them yourself. With the email option, customers with an appointment in the period get an email with a link to reschedule or cancel. Remove an entry with the trash icon (Delete). In the apps, you find them in the settings under Closures: in the iOS app via New closure, then Add; in the Android app, enter the dates and tap Add. The two notification options don't exist in the apps: followers in the customer app Bookelva Go are notified automatically if the holidays haven't started yet; no email goes to affected customers.

Where do the opening hours come from?

Opening hours are not set separately. Bookelva calculates them from the working hours of all active people: for each weekday, from the earliest start to the latest end. They drive the note on today's hours on the booking page and the opening hours in the profile in the customer app Bookelva Go. This overview does not show breaks or time off; the times bookable online are what counts. You find a preview under Settings → Bookelva app.
