Booking confirmation
After every online booking, the customer immediately gets a confirmation by email, with date, time, service, person and a link to manage the appointment themselves. With online payment, the confirmation only goes out after payment. Without an email address it goes out by SMS, if SMS is included in your subscription. Bookelva sets up SMS sending for your shop on request; without this setup no SMS are sent, and customers without an email address then get no message.
For appointments you create yourself in the Calendar, a confirmation is only sent if Send confirmation is switched on: by email and, if SMS is included in your subscription and set up by Bookelva, also by SMS. Customers who booked through the Bookelva app also get the confirmation and the reminder as a push notification.
Email reminder
Before the appointment, the customer automatically gets an email reminder if an email address is on file. The reminder also contains the link to manage the appointment.
Cancelled appointments get no reminder. If someone books at shorter notice than the reminder time, the email or SMS reminder arrives shortly after the booking; there is no push reminder in that case.
SMS reminder
In addition, an SMS reminder goes to the customer's phone number, at the same time as the email reminder. Customers who also have an email address get both.
Bookelva sets up SMS sending for your shop on request. Without this setup no SMS are sent; customers without an email address then get no reminder.
How to set the reminder time
- Open Settings → Booking rules.
- Under Cancellation & reminder, enter in the SMS reminder (hours before appointment) field how many hours before the appointment the reminder goes out (1 to 72).
- Tap Save in the bar at the bottom.
The value applies to all reminders, email, SMS and push, even though the field only mentions SMS. It applies to new bookings; reminders already scheduled keep their time. If an appointment is rescheduled, Bookelva recalculates its reminders with the current value.
What is sent on cancellation and rescheduling
If you cancel an upcoming appointment, the customer automatically gets a cancellation by email, or by SMS if there is no email address (if SMS is included in your subscription and set up by Bookelva; otherwise customers without an email address get no message). Customers who use the Bookelva app also get the cancellation as a push notification. Scheduled reminders are stopped. If you reschedule an appointment in the app, the reminders move to the new time. Bookelva sends no email or SMS about a reschedule; only customers with the Bookelva app get a push notification.
If the customer reschedules or cancels via their own link, a message appears in your Inbox. Whether this is allowed online is set under Settings → Booking rules with Customers can cancel online and Customers can reschedule online.
Review request after the appointment
When you set an appointment to Done or check it out at the register, Bookelva sends the customer a one-time request for a review, by email or, without an email address, by SMS. Incoming reviews are in the Inbox under Reviews.
The SMS only goes out if Bookelva has set up SMS sending for your shop (on request); otherwise customers without an email address get no request.
Can I change the texts?
No, the message texts are fixed. All of them automatically include your business name. The confirmation names service, person, date and time; the reminder names person, date and time, and by email also the service. The cancellation names service, date and time, but no person. The review request names only the person, neither service nor date. If Hidden assignment is switched on, the label you chose replaces the person's name. The language is the one the booking was made in; for appointments you create yourself, it is your business language (Settings → General → Language).
