Bookings

Under Bookings you see all appointments as a list and confirm or cancel them. The Inbox collects messages about new bookings, cancellations, payments and reviews.

How to find a booking

Web admin and app
  1. Open Bookings in the menu. The list is sorted by appointment date, with the latest appointments at the top.
  2. In the web admin, filter with All, Pending, Confirmed, Cancelled or No-show. The number next to each filter shows how many appointments it contains.
  3. Each row shows time, date, customer, service with duration, the person and the status.

In the web admin the list shows the last 200 appointments. In the iOS app, choose Upcoming or Past at the top and filter with All, Pending, Confirmed, Completed, Cancelled or No-show; you can search by name, phone or service. The Android app filters with Upcoming, Unconfirmed, Past, Cancelled and All (no no-show filter) and searches by name, phone or email.

How to confirm a pending booking

Web admin and app
  1. In Bookings, choose the Pending filter (Unconfirmed in the Android app).
  2. Tap Confirm in the row.

Online bookings are normally confirmed right away. Pending mostly means bookings with online payment that have not been paid yet. The online payment stays open for 35 minutes. If no payment arrives, the system then cancels the booking and frees the time again, at the latest after about 50 minutes.

How to cancel a booking

Web admin and app
  1. Find the booking in the list.
  2. Tap the cross on the right of the row (Cancel).

The web list does not ask for confirmation: the appointment is cancelled immediately and cannot be restored. For upcoming appointments, the customer automatically gets a cancellation by email, or by SMS if there is no email address, SMS is included in your subscription and Bookelva has set up SMS sending for your shop (on request); without this setup, customers without an email address get no message. Customers who use the Bookelva app also get the cancellation as a push notification.

How to mark a no-show

Web admin and app
  1. Open Calendar in the menu and tap the appointment.
  2. Tap No-show.
  3. In the web admin and the iOS app, you find all these appointments under Bookings with the No-show filter.

The web list under Bookings has no button for this; in the app it also works in the appointment details of the booking list. The Android app has no no-show filter. The customer is not notified.

How to work with the inbox

Web admin and app

The inbox collects messages: new online bookings, reschedules and cancellations by customers, payments, reviews, your app requests to Bookelva and system notices. Customers cannot write to you here.

  1. Open Inbox in the menu. The number next to it shows unread messages.
  2. Switch between Inbox, Unread, Reviews and Archive.
  3. Tap a message to open it. It then counts as read.
  4. Use Mark as unread, Archive and Restore to keep things tidy; Mark all as read marks everything at once.
  5. If the message belongs to an appointment, Customer profile takes you to the customer's record.

How to publish and reply to reviews

Plan: Pro and aboveWeb admin and appAdmins only
  1. Open Inbox → Reviews and tap the review.
  2. The Public or Hidden button decides whether the review appears on the booking page.
  3. If you like, write a reply in the Reply publicly (optional) … field and tap the send arrow.

Reviews with 4 or 5 stars are published automatically; all others start out hidden. Your reply is publicly visible. Staff members see the buttons too, but saving is refused for them.
